These Terms and Conditions govern your use of the website urbanaturetravel.com (the “Site”) and the booking and participation in any tours, hikes, events, or services (collectively, the “Services”) offered by Urbanature Travel, a tour operator based in Berlin, Germany.

By accessing the Site, making an enquiry, or booking any Service, you agree to be bound by these Terms and Conditions. If you do not agree with any part of these terms, you must not use the Site or book any Services.

1. Our Services
Urbanature Travel organises and conducts small group guided tours, day hikes, multi-day adventures, and related activities that combine urban exploration with nature experiences. All Services are subject to availability and may be subject to minimum or maximum group sizes.

2. Booking and Payment
To book a Service, you must complete the booking process on the Site or through our approved channels. Upon booking, you will receive a confirmation email. The booking is confirmed only after we receive full or partial payment as specified during checkout. We accept payments through our integrated payment processors. All prices are in Euros and include VAT where applicable. Any additional fees, such as insurance, visas, or personal expenses, are not included unless explicitly stated.

3. Prices and Price Changes
Prices are subject to change without notice until the booking is confirmed and payment is received. We reserve the right to correct any obvious errors in pricing or descriptions.

4. Cancellations and Refunds by You
You may cancel your booking by notifying us in writing (email to contact@urbanaturetravel.com). Cancellation fees apply as follows:
More than 60 days before departure: 20 percent of the total price.
30 to 60 days before departure: 50 percent of the total price.
Less than 30 days before departure: 100 percent of the total price (no refund).
No-shows or early departures are not entitled to any refund. We strongly recommend purchasing travel insurance that covers cancellation for any reason.

5. Cancellations or Changes by Us
We may cancel or significantly alter a Service due to insufficient participants, force majeure events (including natural disasters, strikes, pandemics, government restrictions, or other circumstances beyond our reasonable control), or safety concerns. In such cases, we will offer you a full refund, a credit for a future trip, or an alternative date/service where possible. We are not liable for any additional costs you incur (flights, accommodation, etc.) due to such cancellations.

6. Participant Responsibilities
You must be at least 18 years old to book independently, or have parental/guardian consent if under 18. You are responsible for providing accurate information during booking, arriving on time, following the guide’s instructions, and behaving respectfully towards other participants, guides, and local communities. We reserve the right to remove any participant from a tour without refund if their behaviour endangers safety, disrupts the group, or violates local laws.

7. Health, Fitness, and Safety
Participation in our tours involves physical activity, including walking and hiking on uneven terrain. You must be in good health and reasonably fit for the planned activities. It is your responsibility to inform us in advance of any medical conditions, allergies, or mobility requirements. We may require a doctor’s note for certain trips. We provide basic first aid, but you must have your own travel insurance that covers adventure activities, medical emergencies, and repatriation.

8. Travel Insurance
We strongly recommend that all participants purchase comprehensive travel insurance covering trip cancellation, medical expenses, personal belongings, and adventure activities before booking.

9. Liability
To the maximum extent permitted by law, Urbanature Travel is not liable for any loss, damage, injury, or death arising from participation in our Services, except where caused by our gross negligence or wilful misconduct. We are not responsible for delays, missed connections, or losses due to third parties (transport providers, weather, etc.). Our total liability is limited to the amount you paid for the Service.

10. Intellectual Property
All content on the Site, including text, photos, logos, and designs, is owned by Urbanature Travel or our licensors. You may not reproduce, distribute, or use any content without our prior written permission.

11. Privacy
Your personal data is processed in accordance with our Privacy Policy, which forms part of these Terms.

12. Force Majeure
We are not liable for failure to perform any obligation if caused by events beyond our reasonable control.

13. Governing Law and Jurisdiction
These Terms are governed by the laws of Germany. Any disputes arising from these Terms or the Services will be subject to the exclusive jurisdiction of the courts in Berlin, Germany.

14. Changes to Terms
We may update these Terms from time to time. The updated version will be posted on the Site with the new date. Continued use of the Site or Services after changes constitutes acceptance of the new terms.
